Solvay Brussels School is looking for their Programs Coordinator to take good care of the Master’s programs in Vietnam.

We are seeking a highly motivated person who is open-minded and proactive to become our Programs Coordinator. This role will involve providing administration of academic programs at Solvay, arranging Master courses and handling filing of students, candidates and related parties. The ideal candidate will have excellent organizational skills, the ability to multitask effectively and result-oriented mindsets.

1. Key responsibilities

Regarding Professors (International Professors, local lecturers and Coaches)

- Coordinate with all tasks relating to teaching contracts and payments, follow-up, and ensure timely payments for professors, coaches, co-lecturers, etc.

- Communicate with international Professors & Co-lecturers to schedule courses at least 6 months in advance, if not 1 year.

- Schedule airport pickup arrangements for international Professors on a monthly basis.

- Report to Coordination Manager immediately when changes arise.


Current Master programs:

- Ensure smooth teaching operations: organizing and coordinating courses, exams and classes, liaising with relevant parties from Solvay Brussels School and Open University

- Respond to routine inquiries from students and alumni, maintain professional relationships with Professors, students, alumni and Open University representatives.

- Take responsibility for the administrative tasks related to the programs (office expenses, suppliers invoices, reporting, suppliers contracts).

- Operate E-learning platform, monitor and manage database, keep effective filing of students’ records.

- Take care of the administration of course evaluations (distributing, collecting, reporting). Manage students, Professors and alumni’s satisfaction level and constant feedback, Quickly identify areas of change and report to the Coordination Manager.

- Prepare course-related activities (Exams, seminars, group work, Final Master’s presentations, visits, panels, workshops, coaching, etc.), both online and offline. The coordinator is present (fully or partially depending on the session) during the delivery of the programs to make sure things go smoothly.


Potential candidates:

- Provide guidance and support to students on their academic journey, career prospects and the procedure for enrolling in the Master's program.

- Liaise with Open University coordinators to ensure Admissions documents are correctly submitted before the deadlines.

- Arrange and liaise with related teams to organize Masters’ Entrance Exams.

- Other tasks and duties when required with regards to Solvay Masters programs.

- Support with marketing and events when required.


2. Core competencies

- Since our missions and activities at Solvay School require a wide range of tasks, we expect you to be extremely hands-on, flexible and willing to take initiatives.

- Ability to manage multiple tasks and organizational skills.

- Must be able to converse with confidence in Vietnamese and English. Competent in Word, Excel, PowerPoint.


3. Requirements

- Bachelor’s degree in Business Administration, Hospitality, Community development or related fields.

- Minimum 3 years of professional experience. Previous experience in back office is required.

- Working hours are from 9am - 6pm; When there are classes (online/offline) in the evenings or weekend, you can take compensatory leave later under approval of the manager.
